Private record of Covid Vaccinations Answered

angela.leighton

Currently there is the ability to upload Vaccination Competencies against staff profiles, however managers have access to this and there is currently no way to make it so this cannot be viewed by managers without taking away their ability to view other competencies. We need managers to be able to see their staff's training and quals info so this is not a realistic or practical option.

There should be a way to enter Covid vaccination status and docs that can be kept private (I.e only someone with Admin access will be able to view this and pull reports on it).

This is medical information and so for Privacy reasons we should be able to have information in the system that you can pull a report on but that the manager cannot see. We need our managers to be able to see their teams training and qualifications and dont want to remove this access (which is currently the only way to protect privacy) but we also dont want to infringe our staff privacy rights.

There needs to be a way to input this data and be able to pull a report. Simply removing the manager's access to being able to open the attached doc doesnt remove the ability for the manager to see the person's vaccination status.

    Hi Angela,

    Thank you for your query.

We would like to advise that there was new functionality added to the competency administration area where the training administrator can select the document type that the employee can upload to the competency (see this article for background on how this tool works).
By selecting the type of document to something that only certain users can view (and report on) this will allow you to manage who can view these documents - in this scenario, the Covid19 vaccination documents.

By default we have certain document types that are restricted to only users with a certain user access role.

For example; there is a document type called 'Sensitive' that is accessible by only users with the specific user access role Restricted Notes and Documents. Once this role is provided to the user, they will be able to see and report on documents of this type.

Another option is using the 'Medical' document type. This is another restricted document type and only users with the 'Account Admin' or WHS Health Surveillance user roles will be able to view documents of this type.

Note: The above is considering that you do not have customised user roles of your own.

    Regards,
