Competency Management
There are a number of problems with Competency Management in the EnableHR/ESS system
- When updating a competency with a status = “completed”, the system should ensure that a corresponding completion date is entered. Without a completion date, alerts do not get generated. Without a completion date, our HR team spend a whole lot of time running reports, finding where completion dates are missing and following up with individuals to update their competency records. This could all be avoided if the system did a simple check when an ESS user is adding/updating a competency:
If status = “Completed” and completion date = Null
ESS Error message = “Completion date is mandatory when competency status = completed”
- When a user goes in and updates a competency putting in a new completion date, the system should be smart enough to not except an expiry date earlier than the completion date and ensure the user clicks on the red cross to delete this invalid expiry date (really system should also be able to identify where the expiry date has been deleted without using the red cross but apparently the system is not smart enough to do this either). Again, a very simple system check:
If Expiry date is not NULL and Expiry date is < completion date
ESS Error message = “Expiry date cannot be earlier than the completion date”
- Please ensure that the competency date and expiry date are both viewable on the ESS view competency screen. The user is unable to view to see whether they have entered a completion date against a completed competency. The only way an ESS user can see the completion date is to go through and pretend to update the competency.
- The interim screen presented when adding training competencies in ESS is unnecessary and making things over complicated. Why force the user to read all these questions and select each of these questions to open up small sections. This just makes it harder for the user and is a really poor design.
This increases the issue of users adding certificates without updating competency status and completion dates.
Instead of going to this useless screen, can we please go directly to the screen with all the sections open (do not force user to click 4 times to open up these little subsections)
- Competency Notes field - I need users to be able to optionally enter notes against their competency record. I have tried using the points field to enter notes, however, after self service approval is confirmed, this field is blanked out and the notes I entered disappear. “Disappearing” content with no explanation is not a good design.
In the absence of a notes field, I am forced to use the identifier field for notes (at least this does not disappear), and is auditable and appears on reports. It would be better just to have a notes field on the employee/contractor/ candidate competency record.

With any feature enhancement request, we go through the product review process where we determine feasibility and value add to all of our users and where this sits in our roadmap or backlog.
When a user submits feedback to our community forum, these suggestions will go into our queue to review. Our product team will review the suggestions once every 2 weeks. Until the post is reviewed, it will not appear on the community post.
We can confirm that these requests already sit on our backlog, however, have not been prioritised as there has not demand from users yet in relation to this. For your reference; #1 & #2 relate to our backlog item TA-351, #3 & #4 relates to our backlog item ENAB-4928, & #5 to TA-518.
Your suggestions have been added to the forum to allow our other client base to vote on what items they think is most required. From these votes, we can understand the items that will provide our users with the most value.

Hi Louise,
I echo loudly all of your requests.
Why when uploading a document to a competency does the document completed and expiry dates not tranfer to the document as listed in the Documents tab? And likewise If attaching to an existing record why does the completed and expired dates not come across in to the competency?
And when you submit a document in training and qualifications competency the record shows as 'missing' even though you have just uploaded or attached a document so clearly not missing anymore.
You then have to go back into the record to update the details. You should be able to edit the fields at the same time as uploading the document.
Why have only one document type visible in ess that is WHS related ... everything I add has to be Other (WHS) which is super confusing when there is a WHS (Other) type as well!
And with the alerts, I can randomly create an alert with a person icon next to it not the document icon but customer support can't tell me how I managed to do that or what the value of it is!
