New fields available in enableHR for Payroll processing purposes (AUS & NZ)

Background (FT-3484)

New Payroll fields that are mandatory and necessary for new Payroll integrations especially for CloudPayroll(AU) and iPayroll(NZ) to be grouped and placed under a new tab. 

Update

New ‘Payroll Details’ tab under Payroll tab has been introduced with new fields that are necessary for new payroll integrations. This can be enabled for both AU and NZ accounts. All these new fields under 'Payroll Details' tab are optional fields for maintenance.

Note: ‘Payroll Details’ tab can be enabled to only accounts that are using ‘Open API’ for integration. Details in these fields needs to be maintained by account admins manually and does not get populated through employee on-boarding checklists.

How to provide access to the new tab:

New role with name 'Payroll Details (Paroll Details tab only)' has been created under the enableHR and NZ Hubs, this role can be assigned to the users by their Account Admins.

New API end point to retrieve Payroll Details

Background (FT-3597)

Retrieve new payroll field details for a specific employee within the account through OpenAPI

API Doc Portal to include new payroll field changes

Background (FT-3842)

API Doc portal to be updated with the new API end point details

Update

API Doc portal has been updated with the new end point details at the below locations.

  1. API Change log 

  2. API Documentation section under payroll page added with the new retrieve & maintain payroll details with examples.

  3. API Development section has been added with new pages for new retrieve & maintain payroll details with sample schema and example code.

Employee 'Transfer' function to include newly created payroll fields

Background (FT-3888)

Transfer function to include newly created payroll fields while copying/moving data from one employee record to other.

Update

When transfer an employee from one branch to another branch, along with other employee details it now includes newly creaed payroll fields too while copying/moving data from one employee record to another record.

 

SMSF as a new superannuation fund type to be stored in enableHR 

Background (FT-3462)

Currently only regulated funds can be maintained in enableHR and do not have SMSF (Self Managed Super Fund) type can be maintained in enableHR.

Update

SMSF as new superfund type available in enableHR for Xero and OpenAPI clients. Account admins can add/edit and delete SMSF funds for an employee record.

  • Fund type is the new field through which you can idenity whether its a Regulated/SMSF fund.

  • The set of fields get changed when the superannuation type is changed

  • All the required fields are captured before allowing to save the page
  • Validations are made for the data entered by the user (ABN in correct ABN structure)

  • Able to add up to four (4) superfunds (mixture of SMSF or Regulated funds)

Allow Australia eSS users to add SMSF details

Background (FT-3463)

Currently only regulated funds can be maintained in enableHR through eSS and do not support SMSF (Self Managed Super Fund) type can be maintained through eSS.

Update

SMSF as a superfund type can be maintained through eSS and below is the expected behaviour in eSS

  • Superannuation dropdown fields has ‘Regulated’ or ‘Self Managed Super Fund’

  • The set of fields get changed when the superannuation type is changed

  • Employee is able to add SMSF details and able to save the page

  • All the required fields are captured before allowing employee to save the page

  • Validations are made for the data entered by the user (ABN in correct ABN structure)

  • Able to add up to four (4) superfunds (mixture of SMSF or Regulated funds)

  • Self service Approvals are required if Superannuation is staged
  • Automatically reflected the changes made from eSS to EHR for account/s that Superannuation is not staged

API - Retrieve Superannuation changes with SMSF details

Background (FT-3600)

'Retrieve retirement savings' end point did not included SMSF fund type details.

Update

Enhanced ‘Retrieve retirement savings’ end point to include Fund type to identify whether its a Regulared/SMSF fund and as well the integration partners can access SMSF fund type details too.

API - Create/Update/Delete Superannuation changes for SMSF

Background (FT-3603)

‘Create/Update/Delete retirement savings’ end point did not included SMSF fund type details.

Update

Enhanced ‘Create/Update/Delete retirement savings’ end point to include Fund type to identify whether its a Regulared/SMSF fund and as well the integration partners can use this end point to add/modify SMSF fund type details too.

 

API Doc Portal changes to include SMSF details

API Doc portal has to be updated about the changes made to the ‘Retrirement savings’ end points.

Update

Report changes to include new Payroll, SMSF and Tax fields

Background (FT-3598)

Record Export CSV which is used by most of the clients to extract data online needs modifications to include the newly added fields.

Update

New fields are added on the report based on the client configurations. The ordering of the fields are as they present on the UI

  7. Electronic Service Address (ESA)

  8. Employee Number

SMSF fields - Xero Integration Changes [Import & Export]

Background (FT-3599)

To accomodate new SMSF fields, Xero integration has to be modified in both import and export jobs.

Update

Export & Import of SMSF data to Xero for an employee will be similar to how it behaves with regulated superfund type. Based on authoritative system chosen by client in enableHR for Xero Integration settings, SMSF details will be either exported or Imported. Account admins will be able to edit/delete the imported SMSF details from Xero.

Export to Xero:

Superfund type ‘SMSF’ details maintained for an employee record is considered in Xero export process. The Xero export job will either add or update these details in Xero. SMSF details are not allowed to delete if the superannuation has already been paid to SMSF fund.

Import from Xero:

Imported superfund details can now be clearly identified through Fund Type field to know whether its Regulated/SMSF. When Xero is sending us a new employee with SMSF, we accept this for employee record and display it in the enableHR fields under superfund type ‘SMSF’. When there are any update/delete made to SMSF funds in Xero, the import job will make the same changes in enableHR.

OPR - Primary Assessor received duplicate "Performance Review Group Assessment" emails

Background (FT-3523)

The performance review group assessment email notification is sent out to any primary assessor as part of the final stage of the inbuilt OPR process.

Primary assessor would receive 2 duplicated Performance Review Group Assessment email notification per performance review they are the primary assessor for when the first round was completed.

Update

This was caused due to a duplicate request when the user clicks the 'submit my appraisal' button in self service.

Background (FT-3741)

We have a report that pulls the information from record notes and displays it in a CSV format - the Note Details CSV report.

Update

There were requests from our users to improve the way we capture acknowledgement tasks that the employee has responded to so that it is easier to see what document or checklist step the employee responded to.

One of the main use cases is reporting on which employees have electronically acknowledge which checklist tasks (acknowledging FWIS, employee handbook, etc) or self service messages (updates from HR, changes in policies, etc).

The report now has 3 new columns:

  • Checklist (will show the checklist name if the task was sent via a checklist, otherwise this will be blank)

  • Task (will show the checklist task/step name if this was sent via a checklist, otherwise this will be blank)

  • Document File Name/s (if there document/s were included in the acknowledgement task, they will display here, otherwise this will be blank)

Below is an example (Yellow displays the new columns in this report, Green provides examples of how these fields can display)
