Key actions for customers

These are the actions you need to take in addition to creating new documents. The law requires the outcome, not just the template.

  1. All customers: replace the "update now" documents, archive the superseded versions (including the Psychological Health at Work Guidelines and the old Preventing & Responding to Workplace Bullying Procedure), and update the Document Control Register.

  2. All customers: manage psychosocial risks. Identify psychosocial hazards in consultation with workers and any health and safety representatives, assess the risks, control them using the hierarchy of control measures, and record them in the Risk Register.

  3. All customers: update incident notification arrangements. Make sure managers know how to notify the regulator in each state or territory the business operates in, have the current contact details, and check the regulator's guidance on what is notifiable.

  4. All customers: check the Emergency Plan. Review it against the updated template, which is aligned with regulation 43 of the Work Health and Safety Regulations (emergency plans), and make sure it is tested and workers are trained in it.

  5. All customers: consult workers. Consult workers, and any health and safety representatives, on the updated documents that affect them, as the WHS and OHS laws require.

  6. Customers operating in Queensland: prepare and implement a written prevention plan for any identified risk of sexual harassment or sex or gender-based harassment, using the Sexual Harassment Prevention Plan template. Prepare it in consultation with workers and any health and safety representatives, and record that consultation in the plan. Make sure workers know about it and can access it, and review it after a report, when a health and safety representative or health and safety committee asks, and every three years.

  7. Customers that use or store hazardous chemicals: before 1 December 2026, check their chemicals against the new workplace exposure limits, make sure every safety data sheet is current, arrange air monitoring where it is uncertain whether a limit could be exceeded, and eliminate or, if that is not reasonably practicable, minimise exposure to non-threshold genotoxic carcinogens, which no longer have an exposure limit.

  8. Customers doing high risk construction work: use the updated SWMS template, which is aligned with the legislated SWMS content requirements.

  9. Customers that engage volunteers: replace the Volunteer Management Plan and Procedure, which have been updated to the current titles of the WHS and OHS Acts and current requirements.

How do I update or create new documents?

If you already use our WHS module and just want to create the updated documents listed above, we recommend that you follow our instructions under Documents: Replace or create a new version of a document from a template.

If there are only a few new documents you want to create, you can create the documents directly from underneath the 'Our WHS Resources' tabs. This article will show you which tab the documents usually sit under: WHS Tab: Our WHS Documents .

Don't forget to add any new documents you create to the Document Control Register.

Make sure you read through the Key actions for customers listed above, it includes the actions you need to take in addition to creating new documents. The law requires the outcome, not just the template.

What do I do if I want to update or create new documents, but have some structured guidance?

If you haven't set up your WHS module before, want some additional guidance or haven't created many of the documents listed above, we recommend you start by completing our 'Setting up Workplace Health and Safety Policies and Procedures' Checklist, located under the 'Lead Safety' Workflow. This will take you through everything that you need to set up for WHS in your account step-by-step, with additional info and helpful prompts along the way, it will also save the documents you create to the correct tab under the 'Our WHS Documents' tab.
