Checklist Item completion sent to Inactive users

Background

Users marked as ‘Deleted’ or became ‘Inactive’ for any reason are receiving email notifications from checklist item ‘Notify on Checklist Item Completion’.

Update

We have deployed a fix to ensure email notifications are delivered only to active users when the 'Notify on Checklist Item Completion' task is configured, regardless of the selected notification option.

Linking record to a user should check for duplicate contact emails

Background

When linking a user (ESS or Admin) by adding a record with a ‘Current’ status, the system should verify if the user has a contact email and ensures that this email is unique.

Update

When linking a record to an inactive user (ESS or Administrator) by assigning a 'Current' status, the system will perform the following validations before allowing the link:

  • The system checks that the user has a contact email address defined.
  • It ensures the contact email is not already in use or associated with another user profile.
    • Note: The duplicate check ignores users with 'Inactive' or 'Deleted' statuses.

If any validation fails, an error message is displayed, allowing the issue to be fixed before proceeding with the link. Additionally, if there is an error while trying to reactivate a user, the system will prevent the record from being linked until the problem is resolved.

New Features

Task Management - Account Admins to access 'Completed Tasks'

We’ve introduced a new ‘Completed Tasks’ tab, now available to Account Admin users. This enhancement makes it easier to track and review tasks that have been completed. Admins will only see completed tasks related to records within their branch access.

Each completed task includes all relevant details. Clicking the task title opens the full task view, along with a new ‘Task History’ option. The Task History displays a timeline of all actions and updates related to the task, providing better visibility into its progress and completion.

This feature is supported under records for:

  • Employees

  • Candidates

  • Volunteers

  • Contractors

  • WHS - Incident, Hazard or Risk

Task Management - Account Admins to access tasks at individual record.

Account administrators can now view tasks assigned to individual employees, enabling them to take appropriate action.

  • New “Tasks” Tab

    • Account admins can now access a dedicated Tasks tab on each Employee, Candidate, Contractor, Volunteer, Incident, and Hazard/Risk record.

    • All types of tasks allocated to a record appear immediately in the Tasks tab.

  • Tasks are presented in a structured table, including key fields such as Name, Reference, Title, Status, Group, Due Date, and Assigned To.

  • Tasks with various statuses Assigned, Unassigned, Blocked, Complete, and Inactive are included in the List.

    • Deleted Tasks are not included in the list.

  • Real-Time Status Updates - Any change in a task’s status is instantly reflected in the Status column.

  • Record with no associated tasks display a clear “No tasks to display.” message.

  • Edit Permissions

    • Account admins and managers can modify task details for records they have access to, directly from the Tasks tab.

  • Employees

  • Candidates

  • WHS - Incident, Hazard or Risk
