The checklist actions available are:
Checkbox
A task with a 'Go" button to either mark this item as complete or to Record a note
Checkbox (with view record...)
A task with a 'Go" button to either mark this item as complete or to view a Record (eg Candidate, Employee)
Complete the checklist
This checklist action will mark the current checklist as complete and if configured to do so, start the next checklist in the sequence.
Create a document using QA
This is the most commonly used checklist action. If available, this will be where users can access the Q&A section to generate any of the applicable documents from our available templates. The user simply needs to click on the "Create a new document" option to do so. If the user decides the would rather upload a pre-existing document from their local drive or link this checklist to a already uploaded document, they can also do exactly that.
Create a task
This option will allow users to create a task to be actioned either by themselves or a selected user. This will then notify the user in question and appear in the "Tasks" tab awaiting their action.
Drop-down list
This will be a configured option which will allow you to offer users a selection from a pre-defined set of answers. i.e. accepted vs declined, yes or no, NSW>QLD>VIC etc. Normally used to dictate what happens in the next part of the checklist i.e.: If approved, opens up steps 5.01 - 5.06 and if "rejected", opens up steps 6.01-6.06
Make a note
A task that will allow a user to write a note on the record's "Notes" tab. This will also allow users to set a reminder relating to the note.
Open a document to Complete
This action allows the user to open a particular document which the user may need to fill in or provide to the record at that particular point of the checklist i.e. the Fair Work Information Statement.
Request Approval
Only applicable if the "Approval to Recruit" checklist is available: this task will trigger an approval request to be triggered for users with a certain role to approve a decision. A notification is triggered to notify the user to which the user then needs to log in and either approve/reject the request.
Select a document to attach
Allows the user to attach a pre-existing document that has been previously uploaded to the "General Docs" tab. This may be used as a part of the checklist to provide various essential documents to the record. As per the example below, there may be various company specific policies/handbooks which may need to be provisioned to the record as a part of the checklist.
Select a Record (As appropriate)
Allows the user to select the applicable record. For the purposes of the checklist, this would normally be located at the start of the checklist for the user to nominate a person from the available record types for which the checklist is being performed.
Select a Record (Candidate Position)
Allows the user to select the applicable "Candidate" type record. For the purposes of the checklist, this would normally be located at the start of the checklist for the user to nominate a candidate for which the checklist is being performed.
Select a Record (Position)
Allows the user to select the applicable "Position" type record, usually used to identify or nominate a particular position title for a record.
Send an email
A task to send a standard email out to the record. Use this function to communicate with the record as required in the checklist step.
Send an invitation
A task to send an invitation to the record for various meetings. This will come through to the record's email which the record can then use to set a calendar event on their respective email inbox application. This will provide you with a way to easily manage and send out invitations to various meetings, events or interviews.
Set Reminder
This is an action which allows you (the user) to set a reminder relating to the checklist/record. This can then be used to trigger a reminder alert based on the pre-selected conditions. I.e. Police Check.doc expirty xx/xx/xxxx, please update.
Submit to Payroll
Only currently applicable to clients with full Meridian integration: this submits a task to send the candidate record details through to the payroll staging area. This action can also be configured to complete a checklist once the checklist step is done.
Upload a document
A task with four options: Upload a brand new document from your local hard drive relating to this checklist, Link this checklist to a previously uploaded document in a record's "Documents" tab, Link to a shared document or to just write a note on the record's "Notes" tab. The file will then be kept available both on the checklist and in the uploaded location for future reference.
